BaoCampus is the software a school uses to keep its pupils' records, attendance, marks, report cards and school fees. This page says what BaoCampus records about pupils, their families and staff, where that data is kept, who can see it, and how a school asks for it to be removed.

Who is responsible

BaoCampus is provided by Wadson Guimatsa. Each school decides what it records in BaoCampus and who in the school can see it: the school is responsible for the data about its pupils, their families and its staff. Wadson Guimatsa keeps that data for the school and uses it only to run BaoCampus.

What BaoCampus records

BaoCampus records what the school's staff enter into it:

• Pupils: name, date and place of birth, sex, nationality, languages spoken at home, religion if the school records it, previous school and pupil number; class and enrolment; attendance, absences and the documents that justify them; marks and report cards; conduct; health information the school chooses to record; fees, payments and receipts.
• Families: the names of parents and guardians, how they are related to the pupil, their phone numbers and their other contact details.
• Staff: name, contact details, roles, classes and subjects, employment dates, and the account the person signs in with: their email address and their password, kept in a form that cannot be read back.

BaoCampus also records who created or changed each record, and when. At each sign-in it keeps the IP address and the browser's name, and a cookie keeps the person signed in. BaoCampus uses no advertising cookies.

The app also sends the server technical signals about how it runs: the screen that is open, how long a step takes, counts and error codes, with the identifier the sync service gives each installation of the app. These signals carry no names and no content of records.

Where the data is

• The BaoCampus server is in Germany, in Falkenstein, at the hosting company Hetzner. The documents a school attaches, such as absence notes, are kept there too.
• Its backups are kept encrypted in the European Union, at Cloudflare. Each backup is deleted after about eight days.
• So that everyone can work with no connection, the app keeps on each staff member's phone or computer a copy of the records their work needs. That copy stays on the device after signing out, for the next sign-in. On an Android phone, it is kept out of the phone's backup and is not moved to a new phone: a new phone receives the records when the person signs in on it. Uninstalling the app removes the copy from the phone.
• When the app meets an error, it sends a technical report to Sentry, in the European Union. Email addresses and numbers are removed from it before it is sent.
• When a person sends their phone's data to support ("Diagnostics"), the server keeps that copy for 30 days, while the BaoCampus team finds what is blocking, then deletes it.

Who can see the data

• The school's staff who have an account, each according to the responsibilities the school gives them.
• A school never sees another school's data.
• The BaoCampus team, to run the server, repair it and help the school when it asks.
• Hetzner, Cloudflare and Sentry keep or carry this data for BaoCampus, as described above, and for nothing else.

BaoCampus does not sell this data and shows it to no advertiser.

How a school asks for its data to be removed

A school's data stays in BaoCampus for as long as the school uses it and has not asked for it to be removed.

1. The head of the school, or the person who runs BaoCampus for the school, writes to privacy@baocampus.com. The message names the school and says what to remove: all of the school's data, or the data about particular pupils, families or staff members.
2. Wadson Guimatsa checks the request with the school, removes that data from the server within 30 days and confirms it in writing. Backups that still hold it delete themselves about eight days later.

A parent, a pupil or a staff member who wants to see, correct or remove their information asks the school, which corrects most records itself in BaoCampus. If they write to privacy@baocampus.com, their request is passed to the school.
